Construction Project Coordinator

Diamond Contractors is looking for an organized, detail-oriented Construction Project Coordinator to support our Project Management team on fast-paced commercial construction projects throughout the United States.

We are a woman-owned, family-run general contractor specializing in retail construction, remodels, rollouts and other commercial projects across the country. Our Project Coordinators work closely with Project Managers to keep project details organized, documented and moving forward.

We are looking for someone who communicates well, follows through, can manage multiple projects and deadlines, and notices when something is about to fall through the cracks.

Responsibilities

  • Support Project Managers in coordinating multiple active commercial construction projects from project setup through closeout.
  • Set up and maintain project information, tasks, deadlines and documentation in Microsoft Teams, Planner and company systems.
  • Track project schedules, subcontractor commitments, material orders, deliveries and other critical deadlines.
  • Communicate and follow up with subcontractors, vendors, superintendents and internal teams to keep projects moving.
  • Assist with subcontractor coordination, including bid follow-up, scope clarification and contract information.
  • Order and track project materials, equipment, dumpsters, storage containers and other jobsite needs.
  • Research and coordinate travel arrangements for field personnel as needed.
  • Assist with permits, inspections, change orders and other project documentation.
  • Help prepare client updates and maintain organized project files and records.
  • Assemble project startup information and superintendent job notebooks before construction begins.
  • Help compile required project closeout documentation.
  • Monitor project details and communicate with the Project Manager when something is missing, late or needs attention.

Qualifications

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects, deadlines and priorities at the same time.
  • Strong follow-through and a willingness to keep working on an item until it is resolved.
  • Excellent written and verbal communication skills.
  • Comfortable communicating with subcontractors, vendors, field personnel, clients and internal team members.
  • Ability to work independently, recognize what needs attention and ask questions when something does not look right.
  • Strong computer skills and comfort learning new software and processes.
  • Proficiency with Microsoft 365; experience with Teams and Planner is helpful.
  • Construction or project coordination experience is preferred, but we are willing to train the right person.
  • Ability to read construction drawings or previous commercial construction experience is a plus, but not required.

What Success Looks Like Here

Successful Project Coordinators at Diamond know what is happening on their projects, keep accurate records, follow up before deadlines become problems, and communicate when something needs attention.

You do not have to know every answer, but you do need to be willing to find the answer, ask questions when needed, document the details and close the loop.

Benefits

  • Medical, dental and vision insurance
  • Two weeks PTO
  • Paid holidays
  • 401(k)
