We are seeking an exceptionally organized, warm, and discreet professional to serve as the right hand to the Founder of a premier boutique financial advisory firm in Stamford, Connecticut.

This rare opportunity opens as our cherished long-term assistant retires after 15 dedicated years. We are looking for an extraordinary "people person"—someone who combines high-touch relationship skills with sharp operational control. You will oversee day-to-day business operations and professional activities for the Founder, ensuring client relationships flourish, commitments are met, projects move seamlessly forward, and no detail ever falls through the cracks.

If you are a proactive, self-directed professional who thrives on taking ownership, managing competing priorities, and being the indispensable heart of a busy executive office, this role is for you.

Key Responsibilities

High-Touch Relationship & Client Management

  • Serve as a welcoming, professional ambassador for the Founder across all interactions with high-net-worth clients, professional contacts, media, publishers, and key vendors.

  • Build and maintain warm, trusted relationships through clear, empathetic, and professional communication.

Calendar & Inbox Management

  • Proactively manage the Founder's complex business and personal calendar, prioritizing requests, screening inquiries, and handling scheduling logistics.

  • Manage high-volume inbox traffic: draft correspondence in the Founder's voice, track follow-ups, independently resolve routine matters, and highlight high-priority items.

Project Management & Professional Initiatives

  • Coordinate and track key business initiatives, maintain project timelines, follow up with stakeholders, and help drive projects to completion.

  • Support the Founder’s external professional activities, including book publishing, syndicated media columns, national literacy initiatives, speaking engagements, and educational presentations.

Meeting Preparation & Follow Up

  • Prepare detailed meeting agendas, background briefs, and supporting materials.

  • Attend meetings as needed, capture notes for CRM, log action items, track decisions, and execute timely follow-through.

Financial & Office Administration

  • Coordinate with Office Manager and bookkeeper as needed to maintain clean, efficient office operations and manage physical and digital filing systems, contact databases (CRM), and business records.

Travel & Personal Support

  • Plan and manage seamless business and personal travel itineraries, including transport, accommodations, and contingency planning.

  • Provide personal administrative coordination that enables the Founder to remain focused on primary professional objectives.

Qualifications & Requirements

  • Experience: 3+ years of experience as an Executive Assistant, Business Operations Manager, Legal Assistant, or Office Manager supporting a founder, executive, or business owner. Experience in wealth management, financial services, or legal environments is strongly preferred.

  • Interpersonal Excellence: Outstanding "people skills"—warm, articulate, perceptive, and naturally adept at clarity, accuracy, and building trust and rapport.

  • Communication: Exceptional written and verbal communication skills with a strong command of tone, grammar, and nuanced business correspondence.

  • Technical Proficiency: Fluent in Microsoft Office (Word, Excel, Outlook), Google Workspace, calendar management, and CRM tools. Experience with QuickBooks or practice management platforms is a definite plus.

  • Core Competencies: Flawless organization, rock-solid discretion, sharp judgment, and the ability to work independently without micromanagement.

  • Licensing / Background: Series 65 registration or financial industry credentials are a plus. Excellent professional references and successful completion of a background check are required.

Compensation & Benefits

  • Base Salary: Up to $100,000 (commensurate with experience).

  • Work Environment: Full-time, on-site in Stamford, CT within a collaborative, professional, and boutique firm culture.
