About Allied Community Care

Allied Community Care Inc. (ACC) provides home- and community-based services to adults with intellectual and developmental disabilities in Maryland and Pennsylvania. We deliver exceptional, person-centered support to the people and families we serve, and we run a disciplined, sustainable, growing organization so that support can reach more people. Our promise is Innovative Care for Unlimited Possibilities.

The Role

The Executive Assistant to the CEO is the CEO's primary operating partner, gatekeeper, and time-multiplier. You will run the executive office so the CEO can spend their time on the decisions only the CEO can make. That means owning the calendar, the inbox, the paper trail, and the follow-through: preparing the CEO before every meeting, making sure nothing that needs a signature or a deadline slips, and closing the loop on commitments after every meeting.

ACC operates in a fast-moving, highly regulated environment across two states. The right person brings sharp business judgment, exceptional organization and writing, absolute discretion, and genuine respect for the people with disabilities at the center of our work. This role reports to the CEO and may support other members of the Senior Leadership Team.

What You Will Do

Executive Office and Calendar Management
  • Own the CEO's calendar across Maryland and Pennsylvania operations: schedule, prioritize, resolve conflicts, and protect time for focused work.
  • Triage the CEO's email, phone, and correspondence; draft responses; route items to the right leader; and surface only what requires the CEO's decision or attention.
  • Prepare the CEO for each day and week with briefing notes, agendas, pre-reads, and a clear list of pending decisions.
  • Serve as the professional first point of contact for board members, staff, state agency representatives, elected officials, partners, families, and the individuals we serve.
Communications and Document Production
  • Draft correspondence, memos, letters, and presentations on the CEO's behalf for review and signature.
  • Proofread, format, and finalize CEO-facing and external documents to ACC brand standards, maintaining clear version control.
  • Coordinate communications and meetings with state agencies (including Maryland's Developmental Disabilities Administration and Pennsylvania's Office of Developmental Programs), county partners, provider associations, advocacy organizations, and elected officials, and track every open item to resolution.
Board and Leadership Support
  • Coordinate Board of Directors meetings: scheduling, board packets, logistics, minutes, and tracking of board action items.
  • Maintain organized, accurate board and corporate records.
  • Support Senior Leadership Team meetings: build agendas, capture notes and decisions, record action items in our project management system, and follow up until each item is closed.
Contracts, Compliance Deadlines, and Outside Advisors
  • Manage the routing of contracts and agreements for CEO signature: assemble signature packets, confirm required legal and finance reviews are complete, track execution, and file fully executed copies in the system of record.
  • Maintain the executive compliance calendar, including provider enrollment and revalidation dates, licenses and certifications, insurance renewals, regulatory filings, and tax and legal deadlines. Escalate early, well before anything becomes urgent.
  • Coordinate with outside advisors, including legal counsel, accountants, consultants, and recruiting partners: scheduling, document requests, and follow-up.
Projects and Special Initiatives
  • Track the CEO's priority initiatives, prepare status updates, and follow up with owners on deliverables and deadlines.
  • Conduct research and gather information and data on assigned topics, then summarize findings clearly and concisely for decision-making.
  • Plan and coordinate events such as leadership retreats, partner and stakeholder meetings, and other events.
  • Bring projects to successful completion under deadline pressure, handling competing priorities with sound judgment.
Office and Administrative Operations
  • Pick up mail regularly at the Upper Marlboro, MD corporate office; scan, action, and distribute as appropriate.
  • Maintain an organized digital filing system so documents can be found quickly by the people who need them.
  • Complete tasks for the CEO that may require driving to other locations.
  • Perform other duties as assigned.
